Secretary for Facilities


Basic Function and Responsibility:

Under general supervision, coordinates, oversees and performs a variety of skilled clerical and office management activities for the central services director and facility director. Considerable judgment and independent action is exercised in establishing or adapting work procedures to new situations.

Typical Physical Demands:

Requires prolonged standing or sitting.  Requires frequent bending, stooping or stretching.  May require light lifting.  Requires eye-hand coordination and manual dexterity.  Requires ability to distinguish letters or symbols.  Requires the use of office equipment such as computer terminals, calculator, telephone, faxes, and copiers. 

Typical Working Conditions:

Work is routinely performed in an office environment.  Frequent contact with internal and external customers is required.

Characteristic Duties and Responsibilities:

* Central Services Support:

  • Maintains all files and supportive data in an organized system for the respective divisions.
  • Keep timely and accurate records for absences and vacations for Central Services staff.
  • Support for Central Services - Purchasing, Copy Center and Mailroom. 
  • Process requisitions, invoices for payments.
  • Maintains spreadsheets for various expenditures.
  • Work with Reiver PCard system and reconciler for facility personnel.
  • Audit monthly Reiver PCard purchases.
  • Process monthly purchase orders.
  • Maintain vendor files.
  • Maintain bid files.
  • Other duties as assigned.

*Facilities Support:

  • Process time cards for maintenance, physical plant and bus drivers.
  • Keep timely and accurate records for absences and vacations for maintenance, physical plant and bus drivers.
  • Monitor Helpstar and forward to appropriate departments within facilities.
  • Support for the orientation of new employees, including interactions with Human Resources and Information Technology.
  • Maintains spreadsheets for various expenditures.
  • Process requisitions and invoices for Director of Physical Plant.
  • Keep operation manuals, blue prints etc. maintained for construction projects.
  • Other duties as assigned.

* Public Relations:

  • Acts as a receptionist, greeting visitors, answering and responding to general inquiries, or directing visitors. 

* General Office:

  • Performs routine office management activities independently.
  • Organizes, prioritizes, and retrieves appropriate data to complete assignments from the supervisor within established guidelines.
  • Retrieves/tracks files or information from manual or automated files.
  • Maintains manuals and updates resource materials, ensures they are accessible on-line.
  • Completes student background checks as required by specific academic programs.
  • Demonstrates continuous quality improvement efforts to improve operations while maintaining quality service and timeliness.
  • Performs miscellaneous job-related duties as assigned.
  • Maintains a high level of confidentiality in all areas of position.

Knowledge, Skills & Abilities:

* Knowledge of:

  • Proper business English, spelling, and grammar.

  • Understand and follow oral and written instructions; learn job-related material primarily through oral instruction and observation.

  • Work cooperatively with the public and other College employees.
  • Demonstrate proficiency in computer operations and software systems including but not limited to: Microsoft Office (Word and Excel), Vizio, Macromedia-Contribute.
  • Act independently in adapting work procedures as situations require.
  • Move light objects weighing less than 20 pounds such as mail, supplies, and files.
  • Sort, separate, arrange, file, and distribute incoming mail products or material in appropriate manner.
  • Perform a broad range of duties.


Required:  Associate degree in office administration or related field or three years of progressively responsible administrative professional experience.
